Semester Away Program (SAP) at UVCE: Structure, Credits and Open Questions
The 2025-29 batch is the first to go through UVCE's B.Tech program under the autonomous structure. SAP has not been run at UVCE before. This article covers what the rules prescribe. How the Dean's office processes applications, which institutions are considered viable, and what the credit transfer process actually looks like in practice: none of that has been established yet. This article will be updated as the first cohort goes through the process.
The Semester Away Program allows B.Tech students to spend Semester VII at an external institution, research organization, or industry in their core discipline or an allied one, instead of being on campus. The stated purpose is exposure to "the academic / research / industrial environment of other Institutions / Research Organizations / Industries of National or International eminence."
Key Numbers
Duration
One full semester at the host institution. Minimum 16 weeks, maximum 24.
Credits from Host
The host institution must award at least 9 credits. UVCE does not re-evaluate these.
Semester VII Total
The same for all students, SAP or not. Parity is built into the structure.
Eligibility
Two conditions must be met to apply.
The first is no active backlogs at the time of applying. There is no CGPA threshold beyond this. It is binary: any pending F or X grade at the end of Semester V makes you ineligible.
The second is a self-arranged placement. Students must secure admission "through own efforts" at an institution, research organization, or industry of national or international eminence (Section 14.2). UVCE does not facilitate placement, and no partner institution list is defined.
The application goes through the DUGC to the Dean and must be submitted before joining the host institution. The window to apply is at the end of Semester V.
How Credits Work
Semester VII carries 11 credits for every student, regardless of whether they go on SAP. The structure differs between the two paths, but the total does not.
The SAP path
You must earn a minimum of 9 credits from the host institution. The host sends your grades directly to UVCE, and no separate UVCE examination is conducted for these credits. UVCE then conducts its own examination for 2 credits of Summer Internship, bringing the Semester VII total to 11. Students on SAP are also exempt from BTP-I (Section 11.6).
The non-SAP path
Students who stay on campus complete BTP-I for 3 credits, two Breadth Elective courses for 6 credits, and the Summer Internship for 2 credits. That also totals 11.
Section 14.5 is explicit on the parity: "total number of credits in VII Sem for all students shall be limited to 11 credits only."
Rules and Conditions
Summer Internship at the same institution
If you are doing SAP at a particular institution or organization, you can carry out your Summer Internship there as well. The combined duration, SAP plus internship, must be a minimum of 18 weeks (Section 14.6).
If SAP does not work out
If you fail to complete SAP successfully, you revert to the regular Semester VII curriculum of your home department, on the recommendation of the DUGC (Section 14.9). What "fails to complete successfully" means precisely is not defined: whether mid-semester withdrawal counts, or only failing to earn the minimum 9 credits, is left unaddressed.
Mandatory departmental activities
Being on SAP does not exempt you from departmental obligations. You must remain available for any mandatory field trips or educational tours scheduled by the department as part of the curriculum (Section 14.7).
Costs
All SAP costs, including travel, accommodation, and institutional fees at the host, are borne by the student on top of standard UVCE fees for the semester (Section 14.10).
Returning for Semester VIII
You must complete all SAP formalities and report back to UVCE for Semester VIII as per the academic calendar (Section 14.8). No provision for delayed returns is mentioned.
Interaction with Minor, Honours, or Micro-Specialization
This is not addressed directly. SAP replaces BTP-I and the two Breadth Electives in Semester VII. Students registered for Micro-Specialization, which draws from Breadth Electives, or any credential requiring specific Semester VII coursework, should clarify the interaction with their department before applying for SAP.
Open Questions
These gaps will have to be worked out by the first batch without any precedent to draw from.
What counts as "national or international eminence." The phrase is not defined anywhere, and no examples are provided. Whether a specific company, research lab, or institution qualifies will be a DUGC and Dean judgment call.
The application format. There is no defined template, checklist, or timeline beyond "apply at the end of Semester V." What the Dean's office requires in practice is unknown.
Credit equivalence. Host institutions may not use the same credit system as UVCE. How a non-standard credit structure maps to the 9-credit minimum is not covered.
Grade transfer logistics. Per Section 14.3, the host institution "shall send the SAP grading." What happens in the event of a delay, a format mismatch, or a grade dispute is not specified.
